From Scattered Follow-Up to a Practice That Runs With Her: How a Somatic Healing Practitioner Built a CRM That Honors Her Work

Meet the Hero

She is a somatic healing practitioner who helps women reconnect with their bodies so they can feel stronger, more confident, and more fully themselves. Her signature offering is a one-on-one coaching experience for women who have already done plenty of personal growth work but still feel disconnected or held back. It blends gentle movement, breathwork, dance, core and pelvic support, and somatic-spiritual coaching. She also offers a prenatal version for women preparing for birth and the transition into motherhood.

Beyond private coaching, she leads workshops and experiential sessions on embodiment, movement, dance, and breath. She works with clients locally and online with women across the country and around the world.

Her work is deeply personal, and her gift is in the room with her clients. But a practice like hers also lives or dies on the quiet, behind-the-scenes moments: the confirmation that arrives right after someone registers, the reminder that shows up at the right time, the thoughtful follow-up after a first conversation with a potential referral partner.

The Problem

On the practical side, her business had several moving parts at once. She had a free guide that invited new women into her world, a growing online community, workshops with multiple dates to choose from, a waiver and payment process for each event, and a network of referral partners she wanted to nurture.

Each piece needed to run on time and feel personal. When she built some of her own event automations, small timing errors crept in that were easy to make and hard to spot. A reminder meant to go out a week before an event was set to go out a day before. A follow-up email was missing its message. These are the kind of details that quietly undermine a first impression.

Then there was the manual work. When a woman registered and brought a friend, that friend had to be added by hand before she could receive any information. The community lived at a long, confusing web address that did not reflect her brand. And when she wanted a more polished look for her emails, she was not sure where the pieces fit together.

Underneath all of this was a bigger concern. A woman who signs up for a free guide and then hears nothing is a relationship that never had a chance. A referral partner she meets once and never follows up with is a connection that fades. Her growth depended on staying in touch with people, and she needed a system to do it so she could keep her attention on the people in front of her.

Meeting the Guide

As a Relationship-Drive CRM consultant, my belief is simple: technology should free people to be more human. When we started working together, I listened to how she wanted her clients and partners to feel, then designed the systems to match. My job was never to make her a developer. It was to build the structure behind the scenes so her presence, her voice, and her expertise could take center stage.

We settled into a clear division of labor. I built the logic, the forms, the timing, and the connections. She brought the subject matter expertise and the words. That meant every email, every page, and every description would sound like her.

The Plan and the Features

A welcome that never goes quiet. I built an opt-in page and thank-you page for her free guide, tied to a sequence of timed emails. A new subscriber is tagged, receives her guide immediately, and then hears from her again over the following weeks. When that sequence ends, she is automatically moved into a monthly educational newsletter, so no one reaches the end of the road in silence. I later refined the opt-in so visitors could choose the path that best matched where they were, and each choice received its own tailored sequence.

A home for her community. I set up her online community with topic-based rooms, space for courses and events, and a welcome flow from the guide into the community. I also moved it to a web address under her own domain, so the experience felt like hers from the first click.

Workshop registration that runs itself. This was the most intricate build. Her workshops offer multiple dates, so I created a registration form where each guest picks her date, pays, and signs a waiver connected directly to her CRM. From that choice, everything follows: a tag for that specific event, a confirmation email, a reminder one week before, another one day before, and a follow-up afterward. When a guest brings a friend, the friend is now added to the CRM automatically and receives her own warm invitation and reminders. No one has to enter anything by hand.

I also used custom values so event details like the date, location, and what to bring live in one place. When she plans a future event, she updates a single entry and every email and page follows. Where I found timing errors in her original workflows, I corrected them, kept a labeled copy, and walked her through what changed so she could avoid the same pitfalls on her own.

A networking framework that keeps relationships alive. I created a simple, repeatable process for meeting referral partners. She sends a ready-made invitation to book a call, marks the person as having attended, sends a follow-up that invites them to share their professional bio, and, if she wants to stay in touch, enrolls them in a nurture sequence that reaches out every few weeks to months. The bio form remembers what each person previously submitted, so updating it takes seconds. I added an engagement score so she can see at a glance which relationships and prospects are most active.

Everyday conveniences. I added a ready-made request for Google reviews, a newsletter signup with its own long-running email sequence, and a branded link page with click tracking so she can see what people actually use.

The Transformation and Results

The before-and-after is easiest to see in her daily rhythm. Before, reminders could go out at the wrong time, friends had to be added by hand, and follow-up depended on memory and spare moments. After, a registration triggers the right emails on the right dates, a friend is welcomed automatically, and a new contact is gently guided into an ongoing relationship.

We tested each build end to end before handing it over, and I walked her through how to confirm it for herself. Several of her sequences now stretch months ahead, including a newsletter with about a year of emails already structured. She has room to write her content at a comfortable pace instead of scrambling to keep up.

Just as important, she is not dependent on me. She knows where to edit her emails, how to add the next message to a sequence, and how to update an event for the future. The system belongs to her.

What Success Looks Like Now

Success for her looks like a practice where every woman who registers, subscribes, or connects feels noticed and cared for, and where she did not have to personally orchestrate any of it. Her events fill with guests who arrive informed and prepared. Her referral partners feel remembered. Her time goes to coaching, teaching, and creating.

Without a system like this, the cost would have been quiet but real: reminders sent at the wrong time, new subscribers who never heard a second word, partners who forgot her, and hours spent on administrative tasks instead of her work.
