I have completed a thorough evaluation of Redtail CRM based on my five specific criteria to determine if it supports business growth without hidden penalties or support limitations.
Based on my research, I do not recommend Redtail CRM at this time because it fails four out of my five core criteria.
Here is a detailed breakdown of the evaluation:
Per User Per Month Pricing: Redtail has transitioned to a strict per-user, per-month pricing model ($39 to $65 per user). This model penalizes your success; as you add team members, your monthly overhead increases automatically, which can create a permanent drag on your profit margins. I reject platforms that penalize growth in this manner.
Feature-Based Pricing Tiers: Redtail uses feature-based tiers (e.g., "Launch" vs. "Growth"). This means that many essential tools, such as compliant texting (Redtail Speak) and imaging, are locked behind more expensive tiers. I don't favor utility-based charging as it forces you to pay more just to access the basic features required for your practice.
Human Technical Support: This is where Redtail performs well. They offer accessible human support via live phone lines and email with high response rates. Unlike many modern platforms that have shifted to AI-only or gatekept support models, Redtail provides the human touch I require.
Stair-Step Pricing Models: Redtail employs a significant stair-step pricing model. Their entry-level "Launch" plan is capped at 5 users. If you hire a 6th team member, you are forced to upgrade your entire firm to the "Growth" plan. This single-user addition could increase your total monthly software costs by over 70%, creating an unexpected and significant financial hurdle as you scale.
Free Trials and Introductory Traps: The "Launch" plan serves as an introductory trap. Its lower cost is only possible because it omits critical features and caps your user count at a level that most growing firms will quickly exceed, forcing you into much more expensive commitments.
Because Redtail penalizes growth, locks features behind tiers, and uses stair-step pricing, it will ultimately be a bottleneck for your firm’s growth.
